This is a key role for managing HR administrative tasks in Spain while providing essential support to Portugal. The ideal candidate should possess strong organizational skills, a high degree of accuracy, and the ability to work collaboratively in a dynamic environment.
What responsibilities and objectives will you have?
Payroll Management:
- Act as the main point of contact for payroll-related incidents concerning variable components, vacations and leaves.
- Prepare payroll variables, including extras, night shifts, and benefits from the Benefits platform.
- Oversee the monthly payroll closure and coordinate the payment process with finance.
- Support the external payroll provider, as the company is currently in the process of outsourcing payroll, during the ongoing payroll outsourcing process, ensuring accurate reporting and delivery of all necessary data (e.g., variable components, night shifts, benefits).
Documentation:
- Draft necessary documents and templates for legal aspects, such as functional bonuses, reconciliations, work hour reductions, sanctions, warnings, job modifications, and meeting minutes with the Works Council, as well as taking detailed notes of all discussions during the meetings.
- Manage any type of documentation required by the company.
Severance Management:
- Prepare documentation for contract termination and coordinate their submission for signature.
Platform Management:
- Handle onboarding and offboarding on platforms such as Benefits, Hibob, and Geovictoria, as well as other departmental platforms as needed.
- Coordinate documentation from the creation of the employee profile in our HR platform for all new hires.
Absence and Leave Management:
- Administer and coordinate absences, including vacations, personal days, holidays, and medical appointment hours in the employee platform.
- Unexcused absences: management of absence records.
Data Provider:
- Provide the necessary data required by the department or other teams for its analysis.
Well, what will the requirements be?
- Minimum 2-4 years of experience in a similar role.
- Experience managing payroll variables and related documentation.
- General knowledge of labor relations.
- Strong organizational skills and attention to detail.
- Ability to work effectively in a team and support multiple countries.
- Strong Knowledge in Excel
- Strong command of HR management tools and platforms.
- Fluent in English. Portuguese will be a plus
