Office Manager & Internal Communications Specialist

We are looking for a proactive and highly organised Office Manager who will also lead internal communications across the Iberia market. This dual-role is ideal for someone who enjoys operational coordination and is passionate about building a strong internal culture through effective communication and employee engagement.
What responsibilities and objectives will you have?
Office Management
- Provide day-to-day support to all Heads of Department based in the Iberia office, with special attention to the Managing Director.
- Coordinate logistics for company-wide offsites, internal events, and celebrations (e.g. summer parties, Christmas events).
- Oversee general office operations, including supplies, maintenance, and vendor coordination.
- Ensure a welcoming, safe, and efficient office environment.
- Support the organisation of internal meetings and visits from Group or external stakeholders.
- Act as the go-to person for office-related queries and coordination.
Internal Communications
- Develop and manage internal communication channels and tools for Iberia.
- Create engaging content tailored to different employee groups (emails, newsletters, intranet posts, etc.).
- Support the Iberia Management Team in communicating key updates and initiatives.
- Organise internal campaigns, events, and meetings to foster engagement and information flow.
- Collaborate with the Group Internal Communications Team to align local efforts with global strategy.
- Monitor communication effectiveness and propose improvements.

Required Skills & Experience
- Proven experience in office administration or operations.
- Excellent organisational and multitasking skills.
- Strong written and verbal communication skills in Spanish and English (minimum B2).
- Proactive, solution-oriented mindset with attention to detail.
- Comfortable working cross-functionally and in multicultural environments.
- Proficiency in MS Office tools.
Nice to Have
- Portuguese language skills.
- Experience in internal communications, employee engagement, marketing, or PR.
- Familiarity with basic graphic design tools (e.g., Canva, PowerPoint).
- Background in humanities, journalism, communications, or related fields.
